What is the table of evidence?

WHAT IS THE TABLE OF EVIDENCE?

Your program will use the Table of Evidences as a guide to help you assemble your Self-Study and prepare for the site visit.

There is a separate Table of Evidence for each standards section: After School Administration (ASP-AM), After School Human Resources (ASP-HR), and After School Programming and Services (ASP-PS). Each Table of Evidence outlines the evidence your program needs to provide in order to demonstrate implementation of the standards. This includes a written Narrative, relevant attachments to support the narrative, applicable forms and charts, self-study documents, on-site documents, and on-site activities.

The first part of each Table of Evidence is a Narrative that the program will complete using the Narrative Template in the Related Files. The Administration (ASP-AM) and Human Resources (ASP-HR) Narratives provide an opportunity for your program to discuss key practices that contribute to performance and productivity. They also provide the Endorsers with a clear understanding of how your program is utilizing the standards to advance and sustain your mission and goals (see example 1).

The Programming and Services Narrative is divided into two sections - Program Information and Program Outputs and Outcomes - and provides an opportunity for you to describe the unique characteristics of your program (see example 2).

Program Information includes basic information that helps the Endorsers become familiar with the unique characteristics of the program and program participants.

Program Outputs and Outcomes includes information that helps the Endorsers understand how your program is aggregating data and measuring quality and outcomes.

The second part of each Table of Evidence is a chart that lists evidence key to assessing implementation of the standards (see example 3). The Self-Study Documents column includes evidence that should be provided in your program's Self-Study, which is submitted to COA and the Endorsers prior to the site visit. These documents demonstrate how your program is implementing the standards for that section.

The On-Site Documents column includes evidence that your program should have readily available for the Endorsers when they arrive for the site visit. The Endorsers may review these documents if they need further information to evaluate your implementation of the standards. The Endorsers have the discretion to request additional documentation if they need further information to properly rate a standard.

The On-Site Activities column identifies activities the Endorsers will perform on-site, including observations, interviews, and any necessary file or record reviews. The Table of Evidence designates which individuals may be interviewed, but Endorsers also have the discretion to interview additional individuals within the program if they need further information to properly rate a standard. When implementation of the standard is to be assessed through observation, the Table of Evidence should be used in conjunction with the Observation Tool.
